The short answer

A name board is the printed or digital sign a chauffeur holds at an airport meeting point so that an arriving passenger can identify them. It normally shows the lead passenger's name, though any agreed word or reference can be used instead where discretion is preferred, and the wording is set when the booking is confirmed.

It is the oldest piece of equipment in the business and still the most reliable. Amid a wall of faces in an arrivals hall, a single legible board is the fastest way for two people who have never met to find each other, and no amount of technology has improved on it in the moment that matters.

What appears on the board is entirely within your control, and that is the part worth thinking about. The default is your surname, which is perfectly sensible for most journeys and occasionally exactly what you do not want printed in large letters in a public room. Both options exist; you simply have to say which you would like.

What goes on the board

Most commonly a surname, sometimes with an initial where a name is very common. Boards are kept clean and legible, printed rather than handwritten wherever possible, and held at chest height so they are visible above a crowd. Some chauffeurs use a tablet displaying the same text, which is easier to read at distance in a brightly lit hall.

What does not appear is a company logo on the passenger-facing side, unless you have asked for one. Corporate clients meeting guests sometimes want their own name shown to make the welcome explicit, and that can be arranged. Left to itself, a board says as little as possible about who is being met and by whom.

When discretion is the point

For public figures, for anyone travelling on sensitive business, and simply for people who would rather not announce themselves, a name in a public hall is an unnecessary disclosure. The answer is a code word agreed in advance - a single innocuous word, a project name, or the booking reference - which means nothing to anyone except the two people it is for.

Choose something you will genuinely remember after a long flight, and confirm it in writing when you book so it appears on your confirmation alongside the meeting point. The other half of the arrangement is the chauffeur's discretion: a professional will greet you by name only once you are away from the crowd, and often not at all.

Finding yours quickly

Walk a few steps past the exit doors before you start looking. The immediate doorway is the most congested point in any arrivals hall, boards are held further back where there is room to stand, and scanning from clear ground is far easier than scanning while people move around you. Check both sides of the barrier if there is one.

If a minute or two of looking produces nothing, send a message rather than walking on. Walking is what turns a small delay into a genuine problem, because a passenger moving through a terminal is much harder to find than one standing still. The meeting point on your confirmation is the fixed reference for both of you.
