The short answer

Tell us as soon as you know, and in most cases it is easily absorbed. A party growing beyond the vehicle's capacity means a larger car or a second one, both subject to availability on your date, and a revised quotation is issued in writing before anything changes. A party shrinking is simpler, though the vehicle may already be committed.

Numbers move. Somebody's flight is cancelled, a colleague is added to the meeting the night before, a child comes along after all, an aunt decides she would rather travel with everyone else than drive herself. None of that is unusual and none of it needs to become a crisis, provided the message reaches us while there is still room to rearrange things.

The reason it matters is that the number you gave us at the enquiry stage is what determined the car sitting in the diary against your name. Change the number and you may have changed the vehicle, and possibly the chauffeur allocated to it. What follows explains where the real limits sit and how a change is handled once a booking is already confirmed.

Seats are only half the question

An extra passenger rarely arrives alone. They bring a case, a coat, a laptop bag and occasionally a set of golf clubs, and it is the boot rather than the back seat that runs out first. A saloon that comfortably carries three people carries three people and their luggage far less comfortably, which is why we always ask for the bag count alongside the head count.

There are other consequences that are easy to miss. Adding a child means a child seat, which must be arranged rather than produced at the kerb. Adding somebody with limited mobility may change which vehicle is suitable, because entry height matters more than seat count. A larger party also changes how long a collection takes, and on a tight airport run that is not a trivial detail.

Growing, shrinking and splitting

Growing is the change that needs the most notice, because it may require a different vehicle or a second one, and both depend on what is genuinely free on your date. A weekday morning in London usually gives us options. A Saturday in June, or an early hour anywhere rural, gives us fewer. We will tell you honestly which situation yours is rather than promising and then hunting.

Shrinking is easier but not automatically free of consequence, because the vehicle and chauffeur held for you were held on the basis of what you asked for. Whether a smaller party alters your quotation is covered by the amendment terms you agreed in writing when you booked, and the honest instruction is to read those rather than assume. Either way, tell us the following as soon as you know it.

  • Whether anyone now needs a child seat or help getting in
  • Whether the party should travel together or split across two cars
  • Any change to the collection address or the number of pickups

Two cars is often the better answer

When a group outgrows one vehicle, people tend to reach for the largest car available. That is not always right. Two saloons following each other can be more comfortable than one full MPV, they carry the luggage without anyone holding a bag on their lap, and they allow the party to split naturally when half of it is going on somewhere else afterwards.

Describe what the group is doing rather than only how many of them there are, and the recommendation gets better. Four people arriving on the same flight and going to the same hotel is a different problem from four people meeting at an airport from three directions. The revised written quotation will set out whichever arrangement we agree, and the booking is not changed until you have accepted it.
