Yes. Written documentation for your journey is provided, and exactly what form it takes is confirmed in writing at the time of booking alongside your quotation. If your employer or accountant needs particular details on it — a company name, a purchase order reference, a cost code — tell us at the enquiry stage so it is correct the first time.

Paperwork is the least glamorous part of a chauffeur booking and one of the most consequential, because it is the part that turns up weeks later when somebody in finance asks a question. A journey that went beautifully and a document that does not match the expense policy still produces an unpleasant afternoon for the person who booked it.

The good news is that almost all of this is decided at the enquiry stage rather than afterwards, and it takes about one extra line in a message. This page covers what the written thread already gives you, what to say before the journey so the documentation matches your requirements, and the situations where the paperwork question is worth raising first rather than last.

The thread is already a record

Because everything runs over WhatsApp and email, a great deal of the documentation exists before anybody asks for it. The quotation, the confirmation, the timings, the vehicle class, any amendment agreed along the way and the terms attached to all of it sit in one place, in date order, and neither side has to reconstruct anything from memory. That is often enough for a straightforward personal booking.

For anything being reclaimed or accounted for, a thread is not the same as a document, and we would not pretend it is. Formal paperwork is issued for bookings that need it, and what it contains and when it is issued form part of the written arrangement you agree at the outset. Ask what you will receive before you confirm, in exactly the way you would ask about waiting time.

Getting the details right first time

Almost every problem with documentation comes from a detail that was known at booking and not mentioned. A company name spelled the way the finance system expects it. A registered address that differs from the office you were collected from. A reference number that has to appear or the claim will not process. None of these are difficult; they are simply impossible to guess.

So send them with the enquiry. It costs you one line and removes an entire category of follow-up correspondence, and it means the document produced afterwards does not need reissuing. If you are booking on behalf of somebody else, this is also the moment to say who the paperwork belongs to, because the passenger and the payer are frequently different people with different requirements.

  • Any purchase order, cost code or project reference required
  • Who should receive the document, and at which email address
  • Whether one document per journey or one per period suits you

When to raise it first rather than last

Some bookings make the paperwork the deciding factor rather than an afterthought. Regular corporate travel, journeys that will be recharged to a client, anything an insurer or an employer is reimbursing, and bookings arranged by an assistant who will never see the car are all in that category. In each case the shape of the documentation determines whether the arrangement works at all.

Say so in the opening message and the reply will address it alongside availability and the figure. If something you need is not possible, you will be told plainly at that point, which is considerably more useful than discovering it after a month of journeys. We would rather lose a booking on the paperwork than take one we cannot document properly.
