A generation ago, a UK business trip outside London usually meant a company car and a long drive. That arrangement has largely gone. Fleets have shrunk, grey fleet policies have tightened, and a great many people who travel for work now have no vehicle at their disposal at all. What they still have is a set of appointments in places the railway does not reach.
This is a practical account of how that gap gets filled. Where rail genuinely wins, where a car is the only sensible option, how the two combine, and what the day hire model actually looks like when your appointments are spread across a county rather than a city. It is written for the person doing the travelling rather than for the person approving the expenses.
Where the train wins outright
For city centre to city centre travel on the main lines, rail is usually the better answer and we will say so. London to Manchester, Leeds, York, Birmingham, Bristol, Edinburgh and Glasgow are all faster by train than by road, and the journey is working time rather than driving time. Adding a car at each end gives you the speed of the train and the flexibility of a vehicle.
That combination is the single most useful pattern in UK business travel. A chauffeur collects you from home or the office, you work on the train, and a car is waiting at the far end for the part of the journey the railway cannot help with. Nobody parks anything, nobody hires anything, and the day holds together.
It falls apart where the connections are poor. Cross-country journeys, anything involving two changes, and late evening returns from smaller cities are all cases where the road is more reliable even when it is slower. We would rather look at a specific itinerary than issue a general rule.
Where only a car will do
The destinations that defeat public transport are consistent across the country. Business and science parks on ring roads. Manufacturing sites in industrial estates. Research campuses behind security barriers. Country house hotels used for offsites. Distribution centres near motorway junctions. Client offices in market towns with an hourly bus service.
These places have three things in common: no station within walking distance, no reliable taxi availability at the gate, and an entrance that a postcode does not identify precisely. All three are solved by a car that is already there, driven by someone who has confirmed the gate and the building beforehand.
They are also the places where a missed connection is expensive. A meeting rescheduled because a taxi did not arrive at a business park at four in the afternoon costs considerably more than the journey did, and that calculation is really the whole argument. It is also why we would rather quote a day booking than three separate transfers when the appointments are spread across a county.

The day hire model in practice
For a day of several appointments, the arrangement that works best is a car and chauffeur held for the day rather than a series of separate transfers. The car stays with you, luggage and papers remain on board, and between meetings the chauffeur repositions and waits somewhere legal rather than you re-hailing each time.
The advantage compounds across a day. Twenty minutes saved between each of four appointments is more than an hour, and the tiredness saved is harder to quantify but obvious by the evening. It also means the schedule can move. A meeting that overruns is absorbed rather than causing a cascade of cancellations.
For multi-day trips across several cities, the pattern usually becomes rail between cities and a car within each. That keeps the long distances fast and the local movement flexible, and it is generally the arrangement we suggest for a week of appointments across the country.
Visitors, licences and hire cars
For colleagues visiting from overseas, driving themselves is often a poor idea regardless of licence validity. Left-hand drive habits, narrow roads, unfamiliar junction design and camera-enforced restrictions combine badly with jet lag and an unfamiliar route. The risk is not theoretical and the time saving is usually negative.
Hire cars also carry an administrative tail: fuel policies, damage disputes, parking arrangements at the office, and personal liability for any charging or enforcement notice. None of that reaches a passenger in a chauffeured car, where compliance and any applicable charges sit with the operator and appear in the quotation rather than in an inbox six weeks later.
For a visiting executive with a full schedule, the honest comparison is not chauffeur against hire car; it is chauffeur against a series of taxis with uncertain availability. The second works well in a city centre and poorly anywhere else in the country. Add an unfamiliar road network, a full diary and the residue of a long flight, and the case for a professional at the wheel becomes fairly plain.

The details that make a business booking run smoothly are specific rather than numerous. The building and gate rather than the postcode. Whether there is a security list you need to be on. The number of passengers and the number of cases. Whether anyone will be joining or leaving mid-way. Whether the finish time is fixed or genuinely open.
Everything is quoted in writing before it is confirmed, which matters when someone else is approving the arrangements. The quotation covers the vehicle, the hours, the itinerary and the terms, and it is the document your expenses process needs rather than a verbal estimate. Where a booking is arranged by an assistant on somebody else's behalf, we are glad to copy both parties in so nobody has to relay the details twice.
